Position Overview: The Operations Specialist plays a key role in ensuring smooth and efficient day-to-day business operations at TRUE Network of Advisors. This position provides critical administrative and process support across the organization, helping teams stay organized, on track, and focused on strategic priorities. While the role is primarily operations-focused, strong Excel and data management skills are essential. The ability to collect, validate, and organize data will support accurate reporting, process improvements, and better decision-making. Candidates with experience building reports, tracking performance, and identifying operational efficiencies will be well-suited for this position.

This role is ideal for someone who enjoys being the backbone of business operations while applying analytical skills to improve accuracy, efficiency, and overall effectiveness.

Work Location: This is a full time, fully remote position, with a preference for candidates residing outside the U.S. Pacific Time zone.

Professional Responsibilities:

  • Identify opportunities to optimize operational processes and present data-driven recommendations to leadership.
  • Develop, manage, and continuously improve Excel-based dashboards and reports to track key performance indicators, member engagement, and internal operational efficiency.
  • Own the data lifecycle: collect, validate, organize, and analyze data using advanced Excel functions (e.g., pivot tables, VLOOKUP, INDEX/MATCH, conditional formatting, charts/graphs, macros) and translate findings into actionable insights.
  • Continuously evaluate and apply AI-driven solutions to streamline workflows, reduce redundancies, and improve decision-making processes. Integrate AI tools into daily team operations.
  • Support all aspects of TRUE Network events, both virtual and in-person.
  • Maintain and refine distribution lists; manage bulk emails to ensure timely, accurate delivery to target audience.
  • Collaborate with the team to manage TRUE calendar content on the company website.
  • Generate and distribute company invoices, track payments, and maintain accurate financial records.
  • Assist in developing presentation materials, including data visualizations and performance summaries.
  • Provide general administrative and operational support as needed.

Qualifications and Requirements

  • High School degree or GED required; Associate’s degree in business or a related field preferred.
  • 2+ years of experience in a similar operational support role required; experience in the employee benefits industry preferred.
  • Exceptional organizational skills with strong attention to detail.
  • Excellent written and verbal communication skills; ability to effectively convey information clearly to a variety of audiences.
  • Advanced proficiency in Microsoft Excel, including formulas, pivot tables, dashboards, and data visualization tools.
  • Proficient with Microsoft Outlook, Word, and PowerPoint.
  • Strong critical thinking and problem-solving skills; ability to analyze complex scenarios and propose practical solutions.
  • Adaptability to thrive in a fast-paced, dynamic environment while managing multiple priorities.
  • Strong work ethic; results-driven, and self-motivated.
  • Ability to work collaboratively within a team environment.

Compensation Range: A starting base salary in the $65,000 to $85,000 range, depending on the candidate’s experience.

A wide salary range is posted for this position, and any job offer is based upon a salary analysis to comply with the required state pay transparency law. The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
