Position Overview: Patriot seeks an experienced operations professional with strong safety management skills and understanding to join our company’s Facilities Operations team as a Facilities Operation Coordinator. In this position you will be responsible for supporting and streamlining all aspects of facility operations, lease management and workplace compliance across the organization’s real estate and equipment lease portfolio. This position will work to ensure our real estate portfolio is following all required safety and compliance needs in the network. This role plays a key part in ensuring operational efficiency, safety compliance and effective vendor coordination through proactive process development, data reconciliation, and audits and reviews.

Work location and arrangement: The position is a full-time, fully remote position.

Professional Responsibilities:

  • Take necessary measures to ensure that the real estate portfolio is following all required safety and compliance needs in the network
  • Lead the creation, maintenance, and audit of Emergency Action Plans at all company and partner agency’s locations
  • Oversee the creation and the collection of lease floorplans
  • Collection of necessary data points to get proper insurance for all locations
  • Work to ensure all vendors have a proper certificate of insurance (COI) when working on location
  • Own and enforce the statewide safety/risk requirements
  • Research, coordinate, implement, and evaluate state-specific safety policies and programs, including compliance with required postings and training
  • Lead the decommissioning and consolidation of lease locations as needed, including relocation of local services (internet, phone, copier, etc.), repairs, cleaning out, moving and collection of security deposits
  • Maintain proper communications with landlord in terms of building maintenance needs
  • Develop processes and continuously maintain TI improvements, ensuring that finance and operational approvals flow seamlessly through the Facility Operations team.
  • Work within our lease management system to audit for accuracy with other departments, the management of lease expirations, reconciliations, metadata points and insurance policies
  • Work in parallel with Procurement on renewal/new equipment needs
  • Handle other duties that include security and monitoring of badge access tools, reserve office for travelling team members, space utilization reporting, and key performance metrics (KPIs)

Qualifications and Requirements:

  • 1-3 years of relevant work experience in a facilities and safety compliance environment
  • Working knowledge of OSHA requirements in the insurance industry
  • Familiarity with state of California’s OSHA laws
  • Proficient with the use of Microsoft Office Suite tools, including Excel
  • Excellent interpersonal and communication skills (both oral and written)
  • Ability to network with and handle vendor relationships effectively
  • Independent thinker, problem solver with self-initiative
  • Ability to travel 5-10% (minimal)

Compensation Range: A starting base salary in the $60,000 to $70,000 range, depending on the candidate’s experience. This position is also eligible for additional incentive compensation that is performance based.

The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
