Position Overview: We are seeking a detail-oriented and motivated Administrative Assistant to join our team. This entry-level role is responsible for supporting day-to-day administrative, system, and service-related activities while helping maintain accurate records and high-quality service delivery. The ideal candidate is organized, eager to learn, and comfortable working with data, spreadsheets, and administrative reporting in a fast-paced environment. Strong Excel skills and attention to detail are important to success in this role. This position plays an important role in supporting internal operations, workflow efficiency, and overall team success.

Work Arrangement: This is a full-time position working in our office located in Huntington Beach, CA.

Professional Responsibilities:

  • Monitor and manage incoming requests, ensuring items are reviewed, prioritized, and processed accurately and timely.
  • Process updates, changes, and administrative requests in accordance with company procedures and internal requirements.
  • Maintain, update, and organize spreadsheets, reports, and tracking documents to support team workflows and operational reporting.
  • Utilize Microsoft Excel to manage data, track activity, review information for accuracy, and support reporting needs.
  • Assist with resolving discrepancies by coordinating with internal teams, vendors, and external partners to ensure timely resolution.
  • Support internal team members with day-to-day administrative and service-related needs.
  • Respond to internal requests and basic client inquiries via email and phone in a professional and timely manner.
  • Assist with cancellations, audits, billing-related tasks, and follow-up activities as needed.
  • Enter, maintain, and update records within internal systems, ensuring information is accurate and up to date.
  • Support system updates, documentation management, and maintenance of organized files and records.
  • Assist with printing, assembling, packaging, and distributing materials and related documentation as needed.
  • Support audits, follow-ups, and additional administrative tasks to promote workflow efficiency and service excellence.
  • Continuously develop knowledge of internal systems, workflows, processes, and best practices through training and hands-on experience.
  • Take on additional responsibilities and professional development opportunities as skills and experience grow.

Qualifications and Requirements:

  • High school diploma required.
  • 2+ years of administrative, office, customer service, or data-entry experience required.
  • Strong proficiency in Microsoft Excel required, including the ability to organize data, maintain spreadsheets, filter information, and work accurately in a detail-oriented environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong attention to detail and organizational skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Comfortable learning new systems, technology, and internal workflows.
  • Minimum typing speed of 45 WPM required.
  • Interest in building a long-term career in a professional services environment preferred.
  • Authorized to work in the U.S. without sponsorship.

Pay Range: $18 - $23 per hour plus depending on experience.

The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
